Information we collect

Depending on how you use Client Hive, we may collect your name, email address, phone number, town or postcode area, account and login details, customer job postcode, job category and description, requested timing, job-status reports, and messages sent to us. For professionals, we may also collect business name, services, service area, business postcode, travel time and account-review status.

If a professional buys a lead, we keep information about the lead fee and payment status, such as the amount, Stripe Checkout session and payment identifiers. Stripe handles card details through its secure checkout; Client Hive does not receive or store your full card number. If you choose Google sign-in, Google provides basic account information such as your name, verified email and Google account identifier.

Why we use information

  • To create and manage customer and professional accounts and provide the requested service, including matching customers with suitable local professionals and managing enquiries.
  • To show a limited job summary and general area to approved professionals. If a professional takes the lead and completes checkout, we share the contact and job details needed to respond with that professional.
  • To provide service messages, manage job-status reports, review complaints and arrange any compensation due under our service terms.
  • To process professional lead-fee payments, keep business records and meet legal obligations.
  • To protect the site, prevent misuse, resolve disputes and improve the service.

We rely on steps requested by you or the service relationship for account and enquiry handling; legitimate interests for security, platform administration and dispute handling; legal obligations for required records; and your separate consent for optional email or text marketing. You can withdraw marketing consent at any time by contacting us.

How location is used

When a customer posts a job, we collect the job postcode. We also collect the business postcode of each professional. We use both postcodes to ask Google Maps Platform Routes API for an approximate road distance and driving time. Google receives these postcode values to calculate the route and processes them under its privacy policy. The estimate is cached for up to seven days and shown to professionals browsing matching leads. The customer’s postcode is not shown on the lead card; we disclose it only to the professional who successfully takes that lead. We do not send a full street address to Google for this estimate.

Who receives information

Approved professionals can see a limited job summary, general area and driving estimate for relevant enquiries. When one professional takes a lead and completes checkout, we share the customer postcode and contact and job details needed to respond with that professional. We also use service providers to host and operate the website and process professional lead-fee payments, including WordPress.com/Automattic and Stripe. Google receives information when you choose Google sign-in and receives postcodes when we request a driving estimate using Google Maps Platform Routes API. We may disclose information where required by law or to protect people and the service.

Client Hive does not sell customer personal information. Service providers may process information outside the UK. Where a restricted international transfer takes place, we will use a lawful transfer mechanism and appropriate safeguards.

How long we keep information

We keep account information while an account is active. If an account is closed, we keep only what is reasonably needed to deal with open enquiries, complaints, disputes, security issues and legal or accounting duties, then delete or anonymise it. Payment and business records are kept for the period required by applicable law.

Your rights

You can ask for access to your personal information, correction of inaccurate details, deletion, restriction of processing, or a copy for transfer where the right applies. You can object to certain processing and withdraw consent where we rely on consent. Contact customerservice@clienthive.co.uk to make a request. You can also complain to the Information Commissioner’s Office.

Security and changes

We use appropriate safeguards for the information we hold, but no internet service can promise absolute security. We may update this policy when the service or law changes; the latest version will appear on this page.

Client Hive customer enquiry data sharing

Posting a job on Client Hive is free. To provide the introduction you request, we use the information in your enquiry and share relevant details with the independent professional who chooses it. This includes your name, phone number, email address, job description and full job postcode. Professionals can see an approximate distance before choosing an enquiry; your full postcode is shared only after a professional has chosen it and completed checkout. We use these details to take the steps you request and provide the introduction service; this sharing is not a marketing opt-in. The selected professional is an independent business and is responsible for its own handling of your information when responding to you and carrying out work.

We offer an enquiry to one professional at a time. If that professional returns the enquiry or it is otherwise made available again, another professional may choose it and receive the details needed to contact you about the same job. The professional must use your information to respond to and carry out this enquiry, must protect it, and must not use it for unrelated marketing or pass it on for unrelated purposes. You can contact us at customerservice@clienthive.co.uk if you believe your information has been misused.

Client Hive charges the professional a one-time fee to access an enquiry. We do not charge customers to post a job, and we do not collect payment for the professional’s work. We use your information to provide the matching and introduction service you ask for, administer your account and enquiry, keep the service secure, and meet legal obligations. Optional Client Hive marketing is separate and is controlled through your message preferences.
